Privacy Policy

The short version

This website sets no cookies, runs no analytics, and embeds no tracking scripts. Browsing wecompete.ca does not create a record about you.

We only receive personal information when you deliberately send it to us: by submitting the contact form, submitting an incident report, or joining our mailing list. Photographs are the exception. We publish photos taken at competitions, and the section below explains how to have one removed.

Cookies and tracking

We do not use cookies, local storage, advertising pixels, analytics, or any other tracking technology on this site. Our fonts are served from our own server rather than a content delivery network, so loading a page does not disclose your visit to a third party.

The one exception is the incident report page, which embeds a form hosted by Google. Loading that page shares your IP address with Google and may set Google’s own cookies in that frame. This happens only on that page, and the page tells you so before the form loads. If you would rather not load it, you can contact us by email instead.

What we collect, and when

Contact form. When you use our contact form we collect the name, email address, subject, and message you provide, and send them to our committee inbox. Our server also records the IP address and email address of each submission in a security log, and stores a one-way hash of your IP address with submission timestamps. Both exist purely to block spam and abuse. We do not use them to identify or profile visitors.

Incident reports. Our incident report form is hosted by Google. Whatever you enter goes to Google’s servers and then to the JMCC executive responsible for reviewing reports. Google’s handling of that data is governed by its own privacy policy, not this one.

Mailing list. Our mailing list sign-up is a page hosted by HubSpot, not part of this website. If you sign up, HubSpot collects your details on our behalf and its privacy policy applies to that page.

Server logs. Like any website, our host records standard web server logs (IP address, page requested, timestamp, browser user agent). These are generated by the hosting infrastructure for security and troubleshooting.

Photos and video

We publish photographs on this site: delegates competing and celebrating at competitions, headshots of our executive team, and posts from our Instagram feed. An image of an identifiable person is personal information under Law 25, so it is covered by this policy like anything else here.

Competition photos are taken at events by our own team or by the host competition. Delegates consent to JMCC using them when they accept a place on the delegation, and executive headshots are supplied by each member for the purpose of appearing here. We publish them to document the delegation’s season and to introduce the committee, never for advertising. We describe photos without naming the people in them, so appearing in a delegation photo does not attach your name to it.

If you appear in a photo on this site and would rather not, write to us at info@wecompete.ca with the page it appears on and the reason. Our VP Technology & Innovation reviews these requests and takes the photo down where the reason is valid. Photos published by a host competition on its own channels are outside our control. You would need to contact that competition directly.

How we use it

We use what you send us for one purpose: to respond to you. Enquiries are answered by the relevant JMCC executive, incident reports are reviewed confidentially, and mailing list addresses are used to send JMCC announcements.

We do not sell personal information, we do not rent or trade it, and we do not use it for advertising or automated decision-making.

Our mailing list

Our mailing list is opt-in. We add an address only when someone submits the sign-up form themselves. We do not add people from the contact form, from competition rosters, or from any list we did not collect ourselves.

Every message identifies JMCC as the sender, gives our contact information, and carries a working unsubscribe link. Unsubscribing takes effect right away, and we will not email that address again unless it signs up a second time. This is what Canada’s Anti-Spam Legislation (CASL) requires of us, on top of our obligations under Law 25.

Children under 14

This site is written for university students and the people who work with them. Nothing here is directed at children, and we do not knowingly collect personal information from a child under 14.

Under Law 25, a child under 14 cannot consent on their own: a parent or guardian consents for them. If you are under 14, ask a parent or guardian before you use the contact form, the incident report, or the mailing list. If we learn we hold information about a child under 14 without that consent, we delete it. A parent or guardian can write to us at info@wecompete.ca to ask what we hold about their child or to have it deleted.

Who can see it

Access is limited to the JMCC executive members who need it to do their role, and, where relevant, to CASA JMSB or Concordia University staff involved in handling a matter.

Our service providers process data on our behalf and are bound by their own agreements: Google for the incident form, HubSpot for the mailing list, and our web host. Some of them store data outside Quebec, including in the United States, which means it may be subject to the laws of those jurisdictions.

We otherwise disclose personal information only where the law requires it.

How long we keep it

Contact form messages are kept in our committee inbox for as long as needed to handle the enquiry and for JMCC’s records, and we delete them once there is no longer a reason to keep them. Security and server logs are deleted automatically after 12 months. Mailing list entries are kept until you unsubscribe.

Incident reports are retained by the executive responsible for them according to CASA JMSB’s own process.

Keeping it secure

The site is served over HTTPS with a strict content security policy that blocks third-party scripts. The contact form is rate-limited and protected against automated abuse. Access to our inbox and accounts is limited to current executive members and handed over when terms end.

No system is perfectly secure. If we ever become aware of a confidentiality incident presenting a risk of serious injury, we will notify the people affected and the Commission d’accès à l’information as Law 25 requires.

Your rights

Under Law 25 you can ask us to confirm whether we hold personal information about you and to give you a copy of it, correct it if it is inaccurate or incomplete, delete it where we have no continuing reason to keep it, withdraw your consent, including unsubscribing from our mailing list at any time, or explain how we handled it.

Write to us at the address below and we will respond within 30 days. There is no charge.

If you are not satisfied with our response, you may file a complaint with the Commission d'accès à l'information du Québec.

This site links out to organizations we work with: the competitions we attend, our sponsors, our executives’ LinkedIn profiles, and our Instagram. Following one of those links takes you to a site we do not run.

What those sites collect, and whether they set cookies or track you, is governed by their own privacy policies rather than this one. We have no control over them and are not responsible for their content or their practices.

Changes to this policy

We will update this page if our practices change, for example if we ever add analytics or a new form. The date at the top always reflects the current version. Material changes will be announced through our usual channels.
